About the Role
We are looking for a proactive and service-minded Management Assistant/Office Assistant o ensure the smooth day-to-day operation of our Helsinki office. In this role, you will play a key part in creating an efficient, well-organized, and welcoming workplace environment.
You will support employees and management by coordinating administrative tasks, managing office operations, and acting as a central point of contact for office-related matters, including IT coordination and workplace services. This role offers an excellent opportunity to combine your studies with gaining hands-on experience and exposure to a Sales Office in Helsinki.

What you’ll be doing
Office Administration & Coordination
- Manage subscriptions (telecom, travel, parking)
- Maintain office records and internal contact information
- Provide administrative support and respond to office-related inquiries
- Monitor and manage the shared inbox, ensuring timely responses and coordination
Office Operations
- Manage and order office supplies, ensuring appropriate stock levels
- Handle incoming and outgoing mail, parcels, and printing services
- Coordinate internal meetings, including room bookings and setup
- Support and administer the invoicing process
Facilities & Workplace Management
- Oversee recycling and sustainability practices within the office
- Act as the main point of contact with the landlord
- Ensure the office environment is functional, organized, and well maintained
IT & Equipment Coordination
- Liaise between employees and IT support functions
- Coordinate ordering of equipment (phones, laptops, accessories)
- Support installation and setup of IT equipment
- Assist with basic troubleshooting (network, printers, devices)
- Facilitate remote installation in collaboration with IT teams
- Ensure office equipment is fully functional
Employee Support & Onboarding
- Support onboarding of new employees with workspace setup and equipment
- Ensure new hires have the tools and information they need from day one
What You’ll Bring
- Ability to manage multiple tasks
- A service-oriented mindset with excellent interpersonal skills
- Ability to work independently and prioritize effectively
- Basic understanding of IT equipment and systems
- Proficiency in Microsoft Office tools
- Strong communication skills in both Finnish & English
