As an Office Manager, your will manage daily office administration, assist with events planning, supporting people experience activities.  Also, will support the local management team to coordinate company related events and meetings internally or externally.

 

Location: Seoul, South Korea

 

 

What you’ll do

Office administration

  • Maintain the health and safety requirements of the office, coordinate with the landlord about inspection and maintenance whenever necessary.
  • Maintain all office supplies (including stationary and pantry supplies)
  • In charge of the Security Access, entry to office process.
  • Provide general support to visitors and receiving/sending deliveries of documents and parcels.
  • Fire Safety ambassador in coordination with the building management.
  • Coordinate marketing administration, communication, literature, artwork production for the marketing department.
  • Support marketing campaigns, such as mail mergers, email blasts etc.
  • Lead and support external conferences.
  • Assist with any projects as required.
  • Support the People Team with staff events.
  • Assist in the onboarding process for new hire.
  • Managing Visa/ work pass application for foreigners.
  • Back up assistance with sample management if required.

Support the management team

  • Support the management team about the company events, including annual kick-off meeting, quarterly townhall meeting, monthly management meeting and some review meetings.
  • Coordinate with the management team about GM’s calendar to make GM’s time effective and the communication timely.
  • Book and coordinate meetings within the Korea office and externally as required by the GM and other senior leaders.
  • Provide personal assistance to the GM for travel, administration, conference preparation and other ad hoc matters.
  • Lead, manage, and coordinate business developmental projects and project teams as required.

Travel Management

  • Assist in Flight arrangement, Hotel bookings, transfers and all matters relating to Travel Management for the Leadership Team.
  • Coordinate with Travel Insurance to provide liaison support as required.
  • Any other tasks, projects and/or confidential matters assigned as and when needed.

What you’ll need

  • 5+ years in international Administrative / Services / Generalist roles within multinational companies.
  • Open minded and fast learning.
  • Ability to self-start and self-motivate under very limited supervision
  • Excellent organizational skills with the ability to handle pressures of deadlines, diverse assignment loads and high work volumes.
  • Excellent ability to independently problem-solve and troubleshoot as required.
  • Ability to prioritize and switch directions, work independently and demonstrate initiative.
  • A positive attitude, with a passion to win and willingness to personally get involved and get the job done.
  • Collaborative working style engendering strong team spirit.
  • Excellent Communication and Customer Service orientation.
  • Able and willing to occasionally travel as required.
  • Excellent IT knowledge, e.g, Microsoft Office, Outlook, Excel, Zoom.
  • Working proficiency in English language.
