We’re now looking for an Executive Assistant to play an important role in our Operations function. What makes you stand out is your passion for what your work means – coupled with your ability to listen to customers and respond with appropriate urgency.

 

Purpose of the Position:

The primary purpose of this job is to provide executive level support to the General Manager/Vice President (GM/VP) of Wound Care, Americas.  The Executive Assistant must be detail oriented and have a high level of technical and organizational skills. The individual will exhibit great customer service while projecting a professional image through in-person and phone interaction. Consistent with the philosophy of Molnlycke, the Executive Assistant will share and communicate information, work with individuals in all levels of responsibility, and exercise a high level of confidentiality/discretion and have a substantial degree of knowledge of a sales and marketing environment

 

Key Accountabilities:

  • Provide targeted, high level of administrative support (i.e. special projects, coordinate and manage planning of dinner and events, resolution preparation, expense reporting, purchase orders, pay invoices, etc.) as assigned by GM/VP Wound Care or other VPs as assigned.
  • Additional administrative support to the GM/VP Wound Care to potentially include answering phone calls, reviewing email, maintaining calendar, arranging travel, and other administrative activities
  • Maintain a high level of confidentiality in all matters
  • Exhibit great customer service while projecting a professional image through in-person and phone interaction
  • Manages workflow for incoming items to ensure that issues are directed to the appropriate area (particularly in Manager's absence)
  • Opens, reads, organizes, prioritizes and responds to all incoming mail/e-mail or directs to appropriate area for response
  • Develops and maintains a filing system and monitors status of open items to ensure closure
  • Authorized to manage calendar, making all changes independently, for both internal and external executive time commitments
  • Maintain, create and update computerized documents, spreadsheets, resources/reference materials, manual records, files and data specific as requested
  • Greet visitors, receive calls, take and relay messages, respond to requests for information; provides information or direct caller/visitor to appropriate individual(s)/department(s)
  • Monitors budget for cost center and prepares budget report for manager
  • Support and work closely with other Norcross departments to ensure a seamless and efficient visitor experience for both internal/external guests
  • Perform all other duties as assigned
  • Typical hours 8:00 – 5:00 PM; Extended hours may be required, able to work beyond the normal work day as needed

Qualfications/Education:

  • 8+ years of experience supporting a senior executive, previous experience working in a sales and marketing environment strongly preferred
  • Experience working in an international culture preferred
  • Bachelor’s Degree from an accredited college/university
  • Previous administrative leadership experience, including the ability to multi-task and manage details and decisions necessary for meeting project/assignment deadlines
  • Ability to maintain a professional manner when interacting with executive level staff, external colleagues and the public
  • The ability to utilize technology effectively, ideally with expert-level Microsoft Office skills; Word processing and data entry skills required, including knowledge of Microsoft Word, Excel and PowerPoint, Outlook, Adobe, and other software
  • Experience and familiarity with Concur, salesforce.com and SAP preferred
