The Opportunity

The Contract Administrator is responsible for managing the contract load and distributor notification process for assigned Group Purchasing Organization (GPO) members, Integrated Delivery Networks (IDNs) and other customers. Supports GPO Sr, Directors, GPO staff, Directors of Strategic Accounts (DSAs) and other sales teams, providing guidance, direction and education on the LOC approval and distributor load processes. Assists distributors, facilities, sales teams and strategic account management with requests for facility eligibility, contract notifications, and associated discrepancies. Downloads all assigned GPO, IDN and other member rosters within associated timeframes.

 

Annual sales for items covered under contracts managed by this position are approximately $525M in total. Based on the GPO(s) supported by this role, this position is responsible for the overall management and maintenance of contracts which support company revenues, ranging from $75M - $200M annually. As part of this position, the Contract Administrator, must use good judgement and at times, make judgement calls related to contract loads, tier re-slotting and/or customer price activation as necessary.

 

Key Accountabilities

· -Responsible for processing all assigned GPO(s) or other membership Letters of Commitment (LOCs), GPO(s) or distributor eligibility requests.
· -Validates all MIDs and completes MID requests per prescribed schedule; Loads all contracts/tiers for customers upon notification of new MID(s); Loads all contracts for associated customer upon notification of new MID(s) in Molnlycke contract system and notifies applicable distributor(s)

· -Completes daily customer LOC mass uploads for assigned GPO(s)

·-Expires, set ups or renews individual or GPO contracts in the system
    -Manages assigned contract portfolios; works with DSAs to ensure contracts are loaded prior to expiration

· -Submits 845 EDI transmissions for assigned accounts; Performs daily audits of EDI 845 transactions & take appropriate action to correct

· -Answers routine questions from sales personnel and GPO customers related to tier re-slots, eligibility and GPO member changes

· -Downloads and maintains monthly or weekly GPO membership rosters according to required schedule

· -Develops strategic relationships with DSAs andother internal and external key stakeholders

· -Serves in a support role to GPO Sr. Director(s) for assigned GPO(s) related to any contract extensions or new contract implementations

· -Serves as the Subject Matter Expert (SME) for GPO websites and LOC management for assigned GPO(s)

· -Communicates with distributors to validate and resolve any tier-slot issues and/or distributor chargebacks as required

· -Responsible for completing monthly benchmarking / Key Performance Indicator (KPI) report as required

· -Provides internal company notifications on contract load changes, including distributor notifications and member participation changes to Data Analytics and other external teams as required

· -Creates and maintains Standard Operation Procedures (SOPs) for all aspects of position

 

Key Decisions

·-Answers routine questions from sales team and GPO customers related to tier re-slots, eligibility and GPO member changes; downloads and maintains monthly or weekly GPO membership rosters according to required schedule

·-Communicates with distributors to validate and resolve any tier-slot issues and/or distributor chargebacks

    -Identifies customers to be loaded to a contract as required


Competencies

· -Proficient with Microsoft Office suite, including Word and PowerPoint with advanced Excel skills

· -Knowledge and understanding of the fundamentals of healthcare Supply Chain Management, with a focus on GPOs and contracting principles preferred

· -Ability to effectively and efficiently manage multiple assignments at any one time with strong attention to detail

· -Excellent verbal and written communication skills; contributes to professional discussions about best approaches / practice with other team members

· -Strives for continuous process improvement in current work processes and takes lead role to improve

 

Qualification, Education and Experience

· -Bachelor's degree from an accredited college/university required; equivalent combination of education and applicable experience may be substituted in lieu of degree

· -Minimum of 3 years of progressive healthcare contract-related experience, preferably in amedical device manufacturer, distributor or provider setting

· -Experience with Global Health Exchange (GHX) preferred

· -Knowledge and understanding of the fundamentals of healthcare Supply Chain Management, with a focus on GPOs and contracting principles preferred

· -Knowledge or experience with AS400 or similar database; contract database knowledge preferred but not required
